We process (potentially) the following personal data about you.

  1. Company name
  2. First and last name
  3. Billing address and shipping address
  4. Chamber of Commerce number
  5. Email address
  6. Phone number
  7. Social media account names
  8. Customer number, order number, quotation number and invoice number
  9. Portraits (when using Gravatar in comments)

How do we get your personal data?

We have obtained the above personal data from you or from public records, such as the Chamber of Commerce trade register or other open sources (social media).

For these reasons, we process personal data

We process your personal data only when we are allowed to do so under the AVG and UAVG and for the purposes described below.

Online course environment and community

If you participate in our online courses and community, we process your personal data and perhaps your portrait photo when you use Gravatar, to enable the operation of the course environment and interaction in the community. Data such as your name, email address, and course progress are used to provide access to courses, track your learning, and communicate updates or changes. Within the community, information shared by you, such as your profile name, posts and comments, may be visible to other participants. If you upload images to the community, other community members may download the images from the site and see the location information. You can prevent this by uploading images without EXIF GPS location data.

Comments

If you leave a comment on our website, under a blog post or a review of a product, we process at least your name and perhaps your portrait photo if you use Gravatar. Additionally, your IP address and browser user agent to help detect spam. We basically leave this indefinitely, unless the blog post or product disappears from the website or you submit a removal request to us. We have a legitimate interest in leaving these comments up, especially if there has also been a response, either by us or a third party, to your comment.

Contact

If you have contacted us by phone, email, our contact form, WhatsApp or social media, we have received data from you. We process these in order to respond to your message to us.

If you have contacted us through social media, this will usually have been through the business account of Stapel van Stenen (Stack of Stones). In those cases, we process the data for up to 5 years, for example, to see when we last had contact, what it was about and how you responded at the time. It is in our legitimate interest to know this so that we can better help you and better prioritize your needs. You may also have contacted us through Rolf Egberink’s private account, in which case this is private or home use.

Newsletter

We would like to send you a newsletter, because you are a customer with us or because you have registered yourself. We therefore process your name and e-mail address in order to send you information and news. We offer the option to unsubscribe at the bottom of each newsletter. We keep your data for this purpose until you have unsubscribed.

Quotes

If you request a quote from us, we will process your company and personal data in order to send you a targeted quote. We save quotations for 8 years. This is because it is our legal administrative obligation to be able to show what preceded an invoice. We also like to keep the quotations themselves, so that we can see whether you have requested a quotation from us before and what the content of that quotation was.

Agreement

In addition to sending offers and invoices, we sometimes need your data to be able to execute the agreement itself. We will then process this data at least for the duration of the agreement and as long as the statute of limitations has not expired.

Shop

When you visit the shop on our website, we collect the following data:

  • The products you have viewed: for example, we use this data to show you products you have recently viewed
  • Location, IP address and browser type: we use this data to calculate tax surcharges and shipping costs
  • Shipping address: we ask you to enter this information so that we can, for example, calculate shipping costs before you place an order and then ship the order to you
  • We also use cookies to store products in your shopping cart as you browse our site

When you purchase products from us, we ask you to provide information including your name, billing address, shipping address, e-mail address, phone number, payment information and optional account information, such as a username and password. We use this information for the following purposes:

  • To respond to your inquiries, including refunds and complaints
  • To process payments and prevent fraud
  • To set up your account for our store
  • Meet any legal obligations we have, such as calculating taxes
  • To improve our retail offerings

We retain order information for 8 years for tax and accounting purposes. This information includes your name, e-mail address, and billing and shipping address.

Billing

If you have purchased a product or service from us or placed an order with us, we will process the data necessary for the performance of that service or order. These are in any case your name and e-mail address and other data necessary to send a correct invoice. When payment is made, we will also see from which account it came and who the account holder is. We keep quotations, invoices and payment data for 8 years.

Legitimate interest

In some of the above cases, we have a legitimate interest in processing data. We have weighed our interest, for example the interest of safeguarding our own evidentiary and legal position, against the privacy interest of the person whose personal data we process on this basis. In doing so, we will not process more data than is necessary to achieve our purpose and safeguard our legitimate interests.

Who on our team has access to your data?

Members of our team have access to the information you submitted to us. For example, both administrators and instructors have access to:

  • Order information, such as products or services purchased, date of purchase and shipping address, if any.
  • Customer information, such as your name, email address, shipping and payment information, course progress and communication in the online community.
  • Our team members have access to this information to complete orders, process orders, issue refunds and provide you with support.

Recipients of personal data

We share your data with the following third parties, including our processors:

  • Hosting of our website and mail servers
  • Customer Relationship Management (CRM) system
  • Accountant
  • Payment Services
  • Delivery services

Third country transfers

We try to process personal data as much as possible within the EEA, but sometimes we cannot avoid using services from outside the EEA. These companies are based in an appropriate country designated by the European Commission.

We have a processor agreement with all processors, inside and outside the EEA.

Inspection, rectification and erasure

You have the right to know what personal data we process about you and you may then request that it be rectified or erased.

Limitation of processing.

You have the right to ask us to restrict the processing of your personal data, for example, if the data is no longer accurate, the processing is unlawful, we no longer need your personal data or pending a decision on the objection you have made to the processing.

Right to object

You have the right to object to the processing of your personal data. If you object to the use of personal data for direct marketing purposes, we will no longer use your personal data for that purpose.

Data portability

You have the right to receive your personal data from us in a structured, common and machine-readable form, so that you can transfer it to another party, where you had given us permission to process your data and where the processing was automated.

Revoke consent

If we have obtained your data for a specific purpose based on your consent, you may withdraw this consent at any time. The withdrawal of consent does not affect the lawfulness of the processing prior to the withdrawal.
